The original Agreement states that it was for one year, with three optional one-year terms possible if the parties mutually agree to exercise the options each year. This is the first of three possible option years that can be exercised and runs through October 31, 2022. The City would like to exercise the 2022 option year of the Agreement. The Compensation as outlined in Exhibit A, to the Agreement, includes the labor and material cost negotiated and shall not exceed $15,546.01. The history of the annual renewals, including dollar amounts, is set forth as follows: Original contract amount $11,849.40 2022 Renewal $15,546.01 All of the other contract provisions contained in the original Agreement shall remain in place and remain unchanged in exercising this option year. The reason for starting after 8 am is because that's what the home occupation permit says is when we can start, and although we operate out of a storage unit so that doesn't really pertain to us . The grass is to wet first thing in the morning to be mowed at 5 am . The contract says it is to be mulched but you can't mulch wet long grass. Which resulted in us hauling about a truck bed full of grass every week to the dump. The price I quoted in the previous email doesn't even include the time spent going to the dump or the dump fees we incurred just to keep the level of quality I wanted to deliver and that you would expect. Most companies that offer the same services as mine would also want to do the fertilizing , plowing , bark , and other services with higher profit margins. Most also charge a lot more then 60.00 per man hour. The operational costs of mowing is more then a plumber an electrician and a roofer combined . There is very little money to be made mowing grass . The 300.00 a week is what I would of needed to charge last year to even think about making a profit. I believe I heard we were the lowest bidder last year as I did not realize how long it would actually take us I just knew the square footage . I think alot of the time we spend there is from bagging the grass and trying to make it look perfect. I'm not sure if a dump fee for bagged grass can be added to compensate our trips to the dump. I really do love the valley and the people in it and take pride in the fact we get to care for the city hall but financially it may just not be worth it to me . If you can't get the new amount approved please let me know and thank you for your time . This was a mistake on my part to suggest it. I know your crew spends time here,you have stated this to us previously. Brian said that the clean-up has gotten better as the year has progressed. We know that our standards are very high for this facility and we expect perfection which cannot always be achieved, unless we are going to pick up every piece of grass ourselves. We are working on our own expectations. We expected the lawn to be mowed before work at 7:30 on Tuesday mornings. This was to allow you to be able to mow without the employee vehicles being in the way.You said you can't start work until after 8:00 a.m. because you don't start before that on any other day because of the rest of your residential work. While this is still a mystery to me, because we are not in a residential zone, through the year it became later and later in the day on Tuesday until you changed it to Monday afternoon. I also know that some of this had to do with the moisture content of the grass, but in the end this has become acceptable as well. This was our first year together and I think it has become a pretty good working relationship at this point. I expected an increase in the pricing, and I understand your need to cover your costs, but I am trying to figure out how I will justify explaining to management a 44% increase after just one year into my contract. I am going to get some push back adding an extra $3,000 to a budget which was already approved on the pricing I already have. I know you already explained to me the price increase but I am not sure if I will get that approved when I present it. Good Morning Deanna . I was looking at our job completion times for last summer and it took us an average of 5.2 hours to mow the city hall location. That was with 4 people taking an hour and 20 minutes . charging our hourly rate of 60 dollars per man hour it would come to 312 dollars a week. This price does not take into account prevailing wages. I am not sure what the annual increase was for this year. If you can help me figure that out that would be great . I'm also not sure what format you need for this pricing schedule,but i can send it as an estimate on my software if that will suffice.
